Online Presence without the cost...

AAE will take your online marketing for the uk events and entertainment industry to a totally new level. We specialise in channeling potential customers visiting online event directory websites that we control and passing them to venue specific websites that only contain information about your venue. We then process bookings from that website, turning them in to 'paid and processed' customers. We take bookings and payment by phone or fax after dealing with any queries the customer may have or checking availability with the venue. Once a booking is confirmed and paid by the customer, any funds owed to the venue as a result are paid the same day (via postal cheque or BACS) depending on how long payment was recived before the event date.

The specific elements of the service we provide to venue will depend on the your requirements and the overall scope of what you would like us to deliver in terms of online presence and on-line marketing.

How we charge for our service..

Rather than charge you for set-up and include large monthly retainer fees, we opt for a far more desireable arrangement that makes far greater sense at the end of the day.

In fact, we do not charge any kind of set-up fee or monthly fee for what we do.

Instead, we prefer a revenue share based on retaining a percentage of the deposit paid by the customer to our agency. Rather than paying for online advertising and more websites etc that may or may not yield results, the venue owner need only sit back and wait for the customers to arrive as we take care of the rest.

  • The percentage of deposits we retain is negotiable..


All Part of the service we provide:

  • Marketing Materials - online or off-line via paper ads or magazine articles.

  • In-house design of extra promotional material, including a website, leaflets, CD roms etc...

  • Enquiry Handling and data capture for subsequent campaigns.

  • Provision to potential customers of all venue specific information either via the web or brochures through the post - to the customer.

  • Enquiry Follow-ups - we will make sure that all interest show by a potential customer is treated as a 'hot lead' and not just another distant possibility, and as such is closely followed up by our staff and therefore not left to go cold.

  • Closing Strategy - If you have a specific strategy that you'd like employed then we would action this as part of our own closing strategy when dealing with your customers. For instance: You might have a loss leader event package that draws a great deal of interest but isn't as profitable as a closely similar package that is slightly expensive. If you prefer, we will try to explain and emphasize the benefits of the second package in the hope of increasing your overall 'bottom line' if wee succeed in selling it.

  • Checking Availability - We will always check with you the venue operator, before taking a group booking.

  • Deposit Collection - We will collect deposits from the customer and explain how and to whom the balance of the event is payable to. Usually the balance is paid to you the event venue operator. There are circumstances where this might be inappropriate so in those cases we will collect the total amount and pay you as soon as we have received payment from the customer. Example: Corporate Event being paid in advance on a single company cheque.

  • Package confirmation and Receipt - When dealing with a customer, we will confirm via e-mail fax or letter exactly what he/she has paid for and they will be expected to pay on arrival (if anything). We will also relay any specific policies/rules of the day, maps of how to get there or other information including venue contact numbers etc.. Please note that customers will always be informed (where ever possible) about the particular refunding policy of the venue. Please see refunds for more information about this subject.

  • Ongoing Point of Reference for the customer - The customer will only need ask one of our staff for further information about their day or to adjust attendees or catering arrangements etc. Therefore, they will not need to contact the venue staff at any time during the lead up to the appointed event day.

  • Completed 'group by group' booking report - sent to you via fax or e-mail confirming the customers details, what the customer has paid for, how many people the organiser is bringing, when they are arriving and any other group specific information.

  • Post Event Feedback -If you are interested in becoming more effective in keeping customers for the long-term, then we would advise you to consider our Post Event Feedback service. This is available at a small monthly cost and involves us calling the customer after the event and asking specific questions about how they enjoyed their day and what they thought could be improved upon. It will enable you to keep abreast of what went well, what is generally improving and what needs attention, regarding your venue days. All information gathered is 'for your eyes only' although we may ask if we can use occasional positive feedback/recommendations within the marketing copy used for your venue.
